Controlling sensitive data

You can set sensitivity levels on certain data in ChartHop to ensure that only users with permission to see sensitive data can view it.

Controlling the sensitivity levels on the custom fields and forms you use in ChartHop allows you to ensure your organization has the right data to make decisions and that sensitive data isn't shared with employees who shouldn't see it.

You can't change the sensitivity level for a built-in ChartHop field. Use the Fields page to view the sensitivity levels for the fields used in ChartHop. Learn more.

Assigning sensitivity levels to specific data ensures that data is shared only with the appropriate users (for example, 1:1 notes or planning scenarios are shared only with managers).

Sensitivity Levels

The following sensitivity levels are available within ChartHop:

Sensitivity Level	Description	Examples
Org Public	Visible to the entire organization (in other words, this is data that is considered public knowledge within a single organization).	Org chart and structure
Manager-Shared	Use this option to grant access to an item to a manager and direct report that it is associated with. Visible only to the following: * the specified person * anyone to whom they report * users with sensitive access	- Compensation information for direct reports. - Manager 1:1 forms.
Manager-Only	Use this option to grant access to the employee's manager only. Visible only to the following: - anyone to whom they report - users with sensitive access Users who have no direct reports and do not have sensitive access will not see Manager-Only fields at all — including the existence of the field.	Manager performance reviews
Personal	Visible only to the following: - the specified person - users with sensitive access	Birth Year
Highly Sensitive	The most restrictive sensitivity level. The field — including its name — is completely hidden from users who do not have sensitive access. It will not appear in dropdowns, menus, visualize options, or anywhere else in the UI for those users. Only visible to users with sensitive access.	* Future-dated org changes * Internal HR notes * Personal address * PTO information * Compensation information

Highly Sensitive fields are fully hidden, not just redacted. Unlike lower sensitivity levels that may show a field name while hiding its value, Highly Sensitive fields are invisible in their entirety to users without sensitive access.

Verifying sensitivity levels for field data

ChartHop's built-in fields have default sensitivity levels that you can't change. For example, personal data fields like home address and home email have a data sensitivity level of Personal. However, your organization may have created additional fields for employee data that are org public. To keep yourself up-to-date on the sensitivity levels for the fields in your org, use the Fields page to view this information.

To verify your organization's data sensitivity for fields:

From the left sidebar, select the Settings (gear) menu and select Fields.

On the Fields page, sort the list by the Sensitivity column. You can choose Sort asc or Sort desc. The list sorts and you can scroll to view the sensitivity levels for particular fields.
